# **Overview**

Application Forms are the customer-facing side of a [loan product](https://bizcore.refined.site/space/BCKB/1776680977), providing a customizable template with predefined steps and questions for applicants to submit their information through an online form. By analysing data on customer drop-off rates, users can continuously improve and optimize the form to enhance engagement and streamline the application process. Sharing the form is effortless, users can simply provide a link or embed it directly into their website.

# **Building an Application Form**

> ⚠️ [Loan products](https://bizcore.refined.site/space/BCKB/1776680977/Loan+Product+Setup) must be configured in the Lending Module first, as the application form draws data from these products.

The first step to building a custom Application Form is to create a new one inside the Lending Module.

## **Create a New Application Form**

Use the sidebar to navigate to **Settings **→ **Lending Module →** **Application Form**:

Next, at the bottom right, click **New Form**, then click **YES **in the popup window to confirm the creation of a new application form:

After confirming, the form settings will open and users can begin customising it by following the **[Application Form Details Setup](https://fsoftsolutions.atlassian.net/wiki/spaces/BCKB/pages/1776615437/Application+Form+Setup#Application-Form-Details-Setup)** below.

## **Editing an Existing Application Form**

Use the sidebar to navigate to **Settings **→ **Lending Module →** **Application Form**:

Click the **Gear icon** ⚙️ on the far right of the Application Form you wish to edit:

Click **CREATE DRAFT:**

## **Application Form Details Setup**

In this section the user can begin customising the settings, the visual elements and lead management aspects of the form.

Click the **Application Form Details** widget to open a dropdown menu of the initial setup options, and fill in the fields:

- **Form Name**: Give the form a name that is recognisable. The name is only used internally to keep track of forms within the Biz Core portal.
- **Form Country**: Select Australia or New Zealand from the dropdown box, this will specify which country the user will accept applications from.
- **Assigned Loan Product**: Select the loan product this application form will be used for. Users should consult the [Loan Product Setup guide](https://bizcore.refined.site/space/BCKB/1776680977) if they haven’t already established their loan products.
- **Send Resume Links**: Use the toggles to turn on sending either an automated **Email** or **SMS **with a link to resume the application to customers who provide contact details during step one of the application:

<span style="color: #97a0af">**Resume Link SMS:**</span>

<span style="color: #97a0af">If you didn't finish your <LenderName> loan application for any reason, you can resume by tapping this link: <ResumeLink></span>

- **Send From Email**: The email address that resume links will be sent from. This can be left blank if the Send Resume Links option is not being used.
- **Email Sender Name**: The name of the sender that will appear on the resume link emails.
- **Highlight Drop-off Rate:** This feature tracks how applicants progress through each step of the application form. If enabled, steps with a completion rate below the specified threshold (i.e. a high drop-off rate) are highlighted and will display a warning message.
- **Threshold**: Set the percentage at which a drop-off warning will be triggered.
- **Auto Create Application**: Enable this to automatically convert leads into applications. When enabled, completed forms will appear immediately in the Application Workspace for assessment, rather than requiring manual action in the Leads Workspace.
- **Colours**: To change the text, heading, or background colours of the application form, click the colour boxes to open the colour selection tool.

> ℹ️ After completing the above steps, users can preview how the application form will appear to customers at any time by clicking the Eye :eyeball:  icon in the bottom-right corner of the page. This will open a preview of the form in a new tab.

## **Steps and Questions Setup**

> ⚠️ While editing the form, make sure to click **SAVE CHANGES** button or the **Save **💾 icon on the bottom-right regularly to save any progress.

### **Steps Explained**

After setting up the form, users can configure each step of the application process by adjusting the required and optional information to be collected. This allows them to tailor the form to their specific requirements. As data on customer drop-off rates becomes available, users can revisit this setup to refine and optimise the application form.

There are currently 9 steps, each of them can be disabled except for Personal Details:

These steps are reflected down the left-hand side of the Application Form:

Users can use the toggle to turn the step on or off, or click the **Pencil** ✏️ icon on each row to edit the name of the stage:

Users can also re-order the steps to their preference by clicking and dragging the **Line**<span style="color: #ffffff">** **</span><span style="color: #ffffff">═ icon:</span>

To fine-tune the details of any step, click the widget to expand it, this will reveal the associated question categories, click these to expand and show each question:

### **Questions Explained**

Each step of the application process contains question categories, which group together related questions. Within each category are the individual questions that applicants are required to answer. Categories appear as headings on the application form, with their associated questions listed beneath them.

In the example application form below, *Permanent Resident *is the question category, and *Are you a permanent resident?* is the question.

Like steps, question categories can be toggled off to hide all questions within that category from the application form. Users can also rename a category by clicking the **Pencil **✏️  icon.

Users can also re-order the categories to their preference by clicking and dragging the **Line **icon<span style="color: #ffffff"> ═ icon:</span>

#### Configuring Questions

To configure the questions on the application form, click the relevant question category widget to expand it. This will display the individual questions, along with the available options to edit or hide them, and a preview of how they will appear to applicants.

Users can rename questions by clicking the **Pencil** ✏️ icon next to each one. **If the Pencil icon is not available, the wording cannot be modified.**

On the right-hand side of each question widget there are toggles to adjust options within the question category:

Using the toggles:

- **Show**: With this enabled the question will be shown on the application form.
- **Required**: When enabled, applicants must complete the question. If disabled, the question becomes optional.

Some questions may include fields where users can specify minimum values. These fields allow them to set certain criteria or requirements for the applicants' responses:

Where dropdowns with options appear, use the checkbox to select which options show as a choice to the applicant. Leaving them all unticked will show all options:

In this case selecting Daily from the dropdown would populate the application form:

On the right-hand side of each question widget, users will find a summary that specifies how each question is phrased within the customer-facing application form. This summary outlines how the applicant is expected to provide their response, whether it is through a dropdown box, a text field, a range slider, or any other specified method:

Users can make further adjustments to how questions are displayed by choosing options from the radio buttons:

Additionally, **some questions offer the option to use Custom Fields**, allowing you to create questions with tailored wording that aligns with specific requirements and preferred language. **If the Custom checkbox is not available, the wording cannot be modified**:

Within the **Qualifying / Personal Details** category, users can enable predefined checkboxes for standard compliance documents, such as Privacy Policy, Terms and Conditions, and Warning About Borrowing. Each option allows a link to be configured for customers to review and agree to.

In addition, two custom checkbox placeholders are available. These can be configured with user-defined text and links to capture agreement to any additional documentation required under internal lending policies or legal obligations.

> ℹ️ While customising the form, remember it can be previewed at any time to view how changes will appear to applicants by clicking the **Eye** 👁️ icon in the bottom-right corner of the page. This will open a preview of the application form in a new tab.

> ℹ️ Applications submitted through preview are not actually imported into Biz Core.

## **Publishing**

After creating and customizing an application form to the user’s preferences, the last step is to publish it. Publishing the form makes it live and available for applicants to access and submit their responses.

From inside the application form setup, navigate to the **PUBLISH** button and click it, then confirm by clicking **YES **in the popup window:

# **Share & Embed Application Form**

There are now several options to share the application forms, but a form can only be shared after it is published.

Navigate to the form the user wants to share and click the **Cog **⚙️ icon attached to it to open the settings:

Click the **Application Form Details** widget to expand it:

## **Share Application Form Link**

From inside the Application Form Details widget:

- Click the **Copy Form URL **icon, this will copy a link to the form to the clipboard:

- Users can now share the link anywhere to share the application form with their customers, such as:
  - Social media: Subscribers can post the link directly on social media platforms like Facebook, Twitter, LinkedIn, or Instagram.
  - Website integration: Users can attach the link to a button or hyperlink on their website. This enables visitors to their website to easily access the application form with a single click.
  - QR code: [Generate a QR code](https://www.qr-code-generator.com/) using the link and include it on physical materials, such as brochures, flyers, or posters. When scanned with a smartphone or QR code reader, it will redirect users to the application form.

When customers open the provided link, they will be directed to a Biz Core hosted website where they can access the application form.

## **Embed Application Form with HTML**

> ℹ️ Users may need to consult with someone who has HTML experience for assistance with this step.

From inside the Application Form Details widget:

- Click the **Copy Embed Code **icon, this will copy the HTML code to the clipboard:

- Users can now paste the HTML code into an `<iframe>` on their website to embed the application form.

## **Embed Application Form with JavaScript**

> ℹ️ Users may need to consult with someone who has JavaScript experience to assist with this step.

An alternative option for sharing the application form is by copying and embedding the JavaScript code. This method ensures that the embedded form automatically adjusts its size to display all the relevant information on the customer's screen without any cropping or scrolling.

From inside the Application Form Details widget:

- Click the **Copy Embed Javascript **icon, this will copy the JS code to the clipboard:

- Users can now paste the JavaScript code into their website to embed the application form.

# **Versions and Drafts**

Application Forms are designed with a version history feature that serves to store and preserve different iterations of the form throughout its lifespan. Each version is saved and users can easily track and review the modifications, updates, and adjustments made to the form at different stages. Users can also see the customer conversion metrics for each variation.

Users can create a new draft of an Application Form while keeping the existing Live version accessible to their customers. This allows them to work on updates without interrupting the availability of the form to applicants. When the user is ready to finalise the changes made in the draft, they can publish it. By publishing the draft, a new version of the Application Form is created. This new version becomes immediately available for use.

The published, live version of the form is always displayed at the top of the page:

### **Create Draft**

From within the **Settings **→ **Lending Module →** **Application Form** menu:

- Navigate to the application form the user want to edit, and click the **Cog **⚙️ icon to open the form setup:

- Click **CREATE DRAFT **button to start a new form, then click **YES **in the popup window to confirm the creation of a new draft.
  - The draft will be based on a previous version of the form, by default this will be the current live version, however the user can build a draft based on an older iteration of the form by clicking the **Cog** ⚙️ icon attached to any of the previous versions to load it before clicking **CREATE DRAFT**:

- Now users can make any changes they want to the form, before clicking **PUBLISH **and confirming **YES **in the popup window to create a new live version.
- Alternatively, they can save their changes to the draft without publishing by clicking **SAVE CHANGES**

Within the master list of applications, any that have a pending, unpublished draft will display a note:

Continue editing the draft by clicking the **Cog **⚙️ icon at the top-right of the form card.

If at any point a previous version is loaded, the user can click** LOAD LATEST VERSION** button to bring them back to editing the draft.

> ℹ️ Preview the draft at any time by clicking the **PREVIEW **button or **Eye **👁️ icon at the bottom-right. This will allow the user to assess how the form will appear to applicants.

> ℹ️ Applications submitted through preview are not actually imported into Biz Core.

# **Completed Count and Percentage**

Each application form will include a count and percentage display, indicating the number and percentage of customers who have completed each step of the form. This feature provides valuable insights into the progress and completion rates at each stage of the application process.

From the list of Application Forms, users can see the metrics broken down by step:

As applicants complete the form, the metrics will update dynamically based on the number of steps they complete.

Users can also view this information for previous versions of the application form by clicking the **Cog** ⚙️ icon attached to each form to open the settings. They can then scroll through the version history, viewing the completed count and percentage for each.

If  have toggled on **Highlight Drop-off Rate** while creating the form, any time this falls below the **Threshold **they have set the specific step will be highlighted red, and a **Notification**❗will be displayed on the form card:

# **Export Submissions CSV**

Users can export a CSV file containing all applications submitted through the form by clicking the download arrow icon attached to the top-right of each form card:

# **Create API Keys and Enable Application Form**

> ⚠️ For the Application Form to work, API keys must be generated and enabled in Biz Core.
> ⚠️ 
> ⚠️ **During onboarding, the team will create an API key for both your test and live environments. **
> ⚠️ 
> ⚠️ A single API key can support multiple application forms, so only one key is required per subscription.

## **Step 1 - Add a New API Key**

1. Use the sidebar to navigate to **Settings → Advanced** and select the API KEYS tab at the top.
2. Click on the Subscription API Keys widget to expand it.
3. To add a new API Key click the **Add New API Key** :plus: button.
4. An input box labelled Description will appear, type in “Application Form”, or alternatively any description that is relevant, and click ADD.
5. After clicking ADD the API Key Created popup window will appear, ensure to save the Key ID and Key information shown here in a safe place.

## **Step 2 - Enable the New API Key**

1. After saving the Key ID and Key click **OK, I HAVE SAVED THIS INFORMATION** to continue.
2. Click the Leads Settings widget to expand it.
3. Finally, within the Leads Settings widget:
  1. Enable the Active toggle.
  2. Leave the Auto-Import toggle disabled.
  3. Leave the Ignore existing customers toggle disabled.
