# **Overview**

The Self-Service Page is a streamlined, single-page solution allowing customers to browse products and services, then complete their purchase conveniently from one page, helping to reduce checkout times, and convert more leads by offering an effortless experience. Giving the added flexibility of paying upfront or by instalments; depending on their preferences, customers can have the freedom to pay over time or the full amount instantly.

Users can let ease of use and versatility help drive their sales by setting up a Self-Service Page today.

# **Self-Service Page Setup**

> ℹ️ Users need the Product Manager or Editor role enabled to use this feature.

To begin building the Self-Service Page, use the sidebar and navigate to **Settings → Product Module**:

This guide will show the process of setting up a Self-Service Page for a Sports Club with the goal of helping users visualise the real-world features and flexibility, while understanding how it can be applied to their business.

## **Product Groups**

Users categorise products and services into** Product Groups**, this will help customers quickly find what they need.

To best suit My Sports Club the following **Product Groups **will be created:

- Coaching Sessions
- Merchandise
- Season Registration Fees

### **Create Product Group**

From within the **Product Module**, users hover over the **Actions ≡ **icon** **on the bottom right and click on** Create Product Group**. In the popup window users enter a **Product Group **name and click **SUBMIT**:

As users add each group, they will appear in alphabetical order on the page:

**Product Groups** are flexible, users can tailor them to best reflect their organisations products and services. For example: create Sports Club groups based on age and gender.

Here are a few examples for other business types:

- Hairdresser: Cut, Colour, Style
- Electronics: Laptops, Phones, Tablets
- Gardener: Mowing, Landscaping, Gardening, Pool Cleaning
- Networking: Brisbane, Sunshine Coast, Gold Coast
- Gyms/Personal Trainers: VIP, Gold, Silver, Bronze
- Social Groups: Monday Night, Wednesday Night, Friday Night
- Software: Enterprise, Small Business, Personal

If users change their mind or their business model changes, they can edit the **Product Group** names at any time.

> ℹ️ Any changes made to **Product Groups** will immediately be reflected on the Self-Service Page.

### **Manage Product Groups**

To Edit a **Product Group** name, users click the **Pencil** ✏️ icon, and make changes in the popup window and before clicking **SUBMIT**:

To Delete a **Product Group** users must first ensure there are no products within the group. This can be done by reassigning them to another group or deleting them entirely. Check the **Manage Products** guide below for help.

Once the **Product Group** is empty, users simply click the **Bin** icon next to the **Pencil **✏️ and confirm deletion by clicking **YES** in the popup window:

Another option is to Enable or Disable a **Product Group**. An enabled group will display on the Self-Service Page, while a disabled group will not. Users simply the Toggle to switch between the options:

> ℹ️ Users can also Enable or Disable individual products within each group. Check the **Products** guide below for more information.

Next to the group name is a product summary:

- **Active** is a count of the Products enabled and showing on the Self-Service Page.
- **Disabled **is a count of the Products disabled and therefore not visible on the Self-Service Page.
- **Expired** is a count of the Products where the paid-by date has passed and needs to be updated before the product will show on the Self-Service Page again. See **Products** guide below for more information on paid-by dates.

> ℹ️ Editing, Disabling or Deleting a **Product Group **will not affect any product payment plans already set up. The payments will continue as scheduled with the original product name.

## **Products**

There are currently two **Product** types available for the Self-Service Page:

- **Total Cost - Paid By**: Collect a total amount by a set date or number of days:
  - For example: Season Registration Fees for U15 Girls Netball are $250.00 and must be paid by 01/04:
    If a customer selects this **Product** and sets their repayments schedule to fortnightly from 01/02, Biz Core will determine that an amount of $50.00 is to be debited beginning 01/02 in order to have the Total Cost paid by the Fixed End Date, based on the customer's choice of fortnightly instalments. *($250.00 is divided by the number of fortnightly periods between 01/02 and 01/04).*
  - For example: Player Uniforms for U18 Boys Rugby are $300.00 and must be paid within 30 days after purchasing: If the customer selects this **Product** and sets their repayments schedule to weekly, Biz Core will determine that an amount of $75.00 is to be debited each week beginning when the Agreement is created in order to have the Total Cost paid within 30 days, based on the customer’s choice of weekly instalments. *($300.00 is divided by the number of weekly periods in 30 days)*.
- **Fixed Payment Amount - No End Date**: Collect a recurring fixed amount until cancelled by user:
  - For example: My Sports Club allows members to donate $20.00 per month to help pay for new equipment, kits and general club maintenance.

### **Create New Product**

From within the **Product Module**, hover over the **Actions ≡ **icon** **on the bottom right and click on **Create New Product**, the **New Product **popup window will launch:

To create a New Product with a **Total Cost - Paid By**:

1. Select **Total Cost - Paid By** from the Product Type.
2. Assign Product** **to Product Group if required.
3. Give the Product** **a name.
4. Enter the **Total Cost**, this is the full cost of the the Product being created.
5. Users can optionally add a **Minimum Initial Payment** amount. This will be the smallest first payment amount a customer can choose.
6. Use the toggle to select between **Paid by Date **or **# of Days** and enter either the **Paid by Date **they would like as the **Fixed End Date** of their new Product, which will reflect the latest date a customer's payment agreement can extend to, or the final date a once off payment can be made. Alternatively enter the **# of Days **the new Product needs to be fully paid off from the creation date.
7. The Toggle will switch between setting a **Max Quantity Per Purchase** for the Product** **or **No Limit**.
8. Add **Product Tags**. This is a powerful feature that allows users to easily find payments based on their tags, any tags that are added will be applied to all Payment Agreements set up for the Product. *(For example: add a 2023 tag to products within the Season Registration Fees group to help identify payments made for the 2023 season, then change the tag to 2024 when the new season commences)*.* *
9. Click **SUBMIT**.

To create a New Product with a **Fixed Payment Amount - No End Date**:

1. Select **Fixed Payment Amount - No End Date** from the Product Type.
2. Assign Product** **to Product Group.
3. Give the Product** **a name.
4. Enter a **Payment Amount**, this is the recurring amount to be collected.
5. Users have the option to input an **Initial Payment**. This allows users to set the customer's first payment to be higher or lower than the recurring amount.
6. Select a preferred payment **Frequency **for the **Fixed Payment Amount **from the dropdown box. This option will determine how frequently the payments will occur for the new Product. Monthly payments also give the option of choosing the 1st or 15th of the month as the Payment Date.
7. Use the Toggle to switch between setting a **Max Quantity Per Purchase** for the Product** **or **No Limit**.
8. Add **Product Tags**. This is a powerful feature that allows users to easily find payments based on their tags, any tags added will be applied to all Payment Agreements set up for the Product. *(For example: add a 2023 tag to products within the Season Registration Fees group to help identify payments made for the 2023 season, then change the tag to 2024 when the new season commences)*.* *
9. Click **SUBMIT**.

> ℹ️ If users do not assign the Product** **to a Product Group they can still create it, but it will appear in an Unassigned Product Group. Users can assign it** **to a different group at any time by editing the Product** **as explained below in **Manage Products**.

### **Manage Products**

Users click on the Product Group to expand and see all associated Products.

To Edit a Product, including the Product Group it belongs to, users click the **Pencil** ✏️ icon, make their changes in the popup window and click **SUBMIT**:

To Delete a Product, users** **simply click the **Bin** icon and confirm deletion by clicking **YES** in the popup window:

Users can also Enable and Disable individual Products by using the Toggle to switch between the options:

An Enabled Product will display on the Self-Service Page while a Disabled Product will be hidden.

Users can also add and remove Tags from this view. Simply by typing a Tag into the field and pressing Enter on their keyboard, or clicking the **Cross **❌ button on existing Tags to delete them:

# **Sharing the Self-Service Page**

Once a user is ready to share their Self-Service Page with customers there are two options:

- They can simply copy the link and share it, some options are Facebook, email or SMS.
- Or they can embed the form on their website.

> ℹ️ In order to share, embed and dynamically update the Self-Service Page users must have an active API Key. This will ensure any changes to the Products or Product Groups will be reflected on the Self-Service Page in real time. Users should consult [How to Enable an API Key](https://bizcore.refined.site/space/BCKB/1948090409/How+to+Enable+an+API+Key) for help with configuring it.

## **Copy and Share**

From within the **Product Module**, users hover over the **Actions ≡** icon on the bottom right and click on** Share Signup Form**. This will launch the popup window:

Using the form, users can create a link to share:

- **Select Product Type**: From the dropdown menu, users choose either Total Cost - Paid By, or Fixed Payment Amount - No End Date, depending on which Product Type they want to share. The Self-Service Page generated will only display the Products that match the Product Type users select here.
- **Form Title**: Optionally, users can enter a title in this field, this could be the name of the organisation or it can be left blank.
- **Logo URL**: Users can copy and paste a link to their company logo into this field, again this is optional.
- **Show Card Border**: Depending on user preference, they can use switch the toggle to display or remove a border around their Self-Service Page.

Once the configuration has been completed users can click **GENERATE **to create the Self-Service Page, then click on the **Copy URL **icon to add the link to their clipboard:

Users can now paste this link anywhere to share the Self-Service Page with their customers, such as:

- Social media: Users can post the link directly on social media platforms like Facebook, Twitter, LinkedIn, or Instagram.
- Website integration: Users can attach the link to a button or hyperlink on their website. This enables visitors to easily access the Self-Service Page with a single click.
- QR code: [Generate a QR code](https://www.qr-code-generator.com/) using the link and include it on physical materials, such as brochures, flyers, or posters. When scanned with a smartphone or QR code reader, it will redirect users to the Self-Service Page.

## **Embed on Website**

From within the **Product Module**, users can hover over the **Actions ≡ **icon on the bottom right and click on** Share Signup Form**. This will launch the popup window:

Using the form, users can create an Embed Code:

- **Select Product Type**: From the dropdown menu, users choose either Total Cost - Paid By, or Fixed Payment Amount - No End Date, depending on which Product Type they want to share. The Self-Service Page generated will only display the Products that match the Product Type users select here.
- **Form Title**: Optionally, users can enter a title in this field, this could be the name of the organisation or it can be left blank.
- **Logo URL**: Users can copy and paste a link to their company logo into this field, again this is optional.
- **Show Card Border**: This toggle will not have any effect on an embedded Self-Service Page.

Once the configuration has been completed users can click **GENERATE **to create the Self-Service Page, then click on the **Copy Embed Code **icon to add the HTML code to their clipboard:

Users can now paste the HTML code into an `<iframe>` on their website, embedding the Self-Service Page.

> ℹ️ Users may need to consult with someone who has HTML experience for assistance with this step.

Alternatively, you users also copy the Embed JavaScript code. This method ensures that the embedded Self-Service Page will automatically adjust its size to display all the relevant information on the customer's screen without any cropping or scrolling.

# **Using the Self-Service Page**

After creating Product Groups, filling them with Products and generating a Self-Service Page to share, customers will see a simple and easy to navigate page made up of three sections: 

## **Product Cart**

The customer can see all the Product Groups users have enabled, and can select them from the dropdown box. After selecting a group they can choose from the Products** **users have enabled and add them to their Product Cart** **by clicking the **Shopping Cart **🛒 icon:

Customers can add as many products as they like to their cart at once. They can also use the **Minus** :minus: and **Plus** :plus: icons to increase or decrease the quantity or the **Cross** ❌ icon to remove a product from their cart:

If users have enabled the Max Quantity Per Purchase setting when creating the product, this will be reflected here, only allowing customers to add up to the maximum quantity users have chosen.

The cart will add up the customer's selections and use this as the total amount to be collected.

> ℹ️ If a customer selects multiple products that have different Total Cost - Fixed End Dates, the earliest paid by date will be used when calculating the payments.

## **Personal Details**

This section of the Self-Service Page will allow a customer to enter some basic personal details to proceed with the transaction. 

## **Payment Details**

In the final section of the Self-Service Page the customer can select how they would like to complete their purchase.

**Fixed Payment Amount - No End Date**: Customers will have the option to select a payment method from the dropdown box:

- **Bank Accoun**t: Customers can enter their Account details into the fields, and click **NEXT**.
- **Card**: Customers will be able to click **NEXT** immediately, they will enter their card information on the following screen.

**Total Cost - Paid By**: Customers can first select a payment frequency from the dropdown box:

They have the option of Weekly, Fortnightly, Monthly repayments, or can select OnceOff to pay the amount in a single transaction.

Next they will enter the date of their first repayment, their regular payment amount (the amount the customer wants to debit at the selected frequency), and they have the option to choose a different amount for their first payment:

Now, based on how frequently the customer would like to make their repayments, as well as the first payment date entered, the regular payment amount and the optional initial payment amount, the system will calculate a schedule and display a summary for the customer, for example:

> ⚠️ If users have included a Paid by Date or # of Days when creating the product this will be displayed to the customer, and the system will not allow them to create a payment schedule that concludes later than this date. Instead, the plan will be calculated as the minimum payment amount required to have the Total Amount Collected by the Paid by Date.

Following this customers can Select their preferred payment method from the dropdown box:

- **Bank Account**: Customers can enter their Account details into the fields, and click **NEXT**.
- **Card**: Customers will be able to click **NEXT** immediately, they will enter their card on the following screen.

> ℹ️ Customers also have the freedom to increase their payment amount. They can contact users to [alter their Recurring Scheduled Transactions ](https://bizcore.refined.site/space/BCKB/1952972873/How+to+Change+Payments)if they wish to pay off their agreement sooner.

After clicking **NEXT** both Fixed Payment Amount and Total Cost customers will see a success message depending on their Selected payment method:

Customers who opted to checkout with their Bank Account will be redirected to a page where they can confirm and affix an E-Signature to their agreement, see **Signing the Direct Debit Agreement (Bank Accounts only)** section below.

Alternatively, customers choosing the Card option will be redirected to a secure payment gateway to enter their card details and confirm the agreement, see **Completing the Payrix Direct Debit Request (Cards only) **topic below.

## **Signing the Direct Debit Agreement (Bank Accounts only)**

Customers will be redirected to a page with a Direct Debit Request Agreement Form, containing the details of their agreement and the Terms and Conditions:

The customer can consent by ticking the two boxes underneath the agreement form, and provide an E-Signature directly from this page.

They will also be sent a link to this page via Email and SMS to complete the agreement at a later date:

Finally, after consenting and providing an E-Signature, they can click **SIGN**. The customer will receive a copy of the Direct Debit Agreement via email, and see a Success message:

An Authorised Agreement Summary will now appear in the Agreements Workspace with the Product Details:

Direct debits will begin from the next scheduled payment date.

## **Completing the Payrix Direct Debit Request (Cards only)**

Customers will be redirected to a page with a Payrix Direct Debit Request Form, containing the details of their agreement and the Terms and Conditions:

The customer will need to fill in their Bank Card details, tick the agreement boxes and click **Submit** to process the Direct Debit Request.

They will also be sent a link to this secure payment page via Email and SMS to enter their card details at a later date:

After providing their card details and agreeing to the Terms and Conditions, an Authorised Agreement Summary will now appear in the Biz Core Agreements Workspace with the Product Details:

Direct debits will begin from the next scheduled payment date.
