# **Overview**

All records have a Side Panel, providing a centralised location where internal and external communications relating to the record are stored. It is made up of five sections; **Reminders**, **Messages**, **Documents**, **Tags** and **Activity History**.

Click on each of the section headings within the Side Panel to navigate between them:

> ℹ️ Each record is self-contained, meaning information contained in the Side Panel is only relevant to that specific [Workspace’s Record](https://bizcore.refined.site/space/BCKB/1778483201/Workspaces). For example: if users are viewing a Loan Workspace Record for a customer, they will not be able to see any application documents unless they switch to viewing the Application Workspace Record.

# **Accessing the Side Panel**

Users have several options to access the Side Panel:

## **From a Record**

From any Workspace Record, click the **Open Side Panel** ◀️ button, the panel will then slide onto the screen, defaulting to the **Messages** section:

To close the Side Panel, simply click on the same icon used to open it, now called the **Close Side Panel **▶️ button.

## **From the Search Results**

Users can open the Side Panel directly after returning a list of results within any of the Workspaces. Each results card will be headed by icons that correspond with the sections found in the Side Panel; **Reminders**, **Messages**, **Documents**, **Tags** and **Activity History**:

Clicking on any of these icons will launch the Side Panel, opening to the section icon that was selected:

To close the Side Panel within this view, click anywhere off the screen to the left:

# **Reminders**

Reminders are used to send users a notification of an event or action they need to do in the future. Besides being stored in the Side Bar, reminders will also push to the notification centre within the portal, and the icon displayed in each Workspace results card will change colour to reflect the status of any reminders for the corresponding record.

## **Create Reminder**

To create a reminder, first open the Side Panel and navigate to the Reminders tab or click the Set Reminder button.

Then click the **Create** bubble:

From here users can enter the details of a reminder:

- **Date**: This is the date the user wants to be reminded on. Input a date or click on the **Calendar **📆 icon to launch the date picker.
- **Time**: This reflects the time the user wants to be reminded at. Click the field to launch a time picker, and select a time.
- **Content**: This is the message content of the reminder, enter a description of what the reminder is for.

## **Reminder Notification**

At the reminder's scheduled time, an alert will be sent to the user via the notification centre. This can be accessed by clicking the **Bell **🔔 icon located at the upper-right corner of the portal. The icon will bear a numbered badge indicating a new notification. Clicking this icon will unveil a dropdown menu that displays the notification's content:

## **View Reminders**

To view reminders, first open the Side Panel and navigate to the Reminders tab. Then ensure the **View** bubble is selected. Each reminder category will show the number of reminders in brackets next to the heading:

Users can click to expand or collapse each of the reminder categories, and view each individual reminder card contained within:

Each reminder category is explained further in the section below.

Overdue and Today’s reminders can be dismissed, and Upcoming reminders can be deleted by clicking the **Delete **❌ icon on the top right corner of each card:

## **Reminders from Search Results**

As outlined above, users can access the Side Panel directly after returning a list of results within any of the Workspaces. The **Bell **🔔 icon corresponding with reminders on each results card will become colour-coded to reflect any reminders associated with that record:

## **Reminder Categories**

Reminders are sorted into three categories, and colour-coded in the search results from any workspace, this are outlined below:

- **Overdue****: **Reminders that were due yesterday and earlier will be found in this category. These reminders will be colour-coded in the search results as red:

- **Today’s: **Reminders that are due today will be located in this category. These reminders are colour-coded in the search results as orange:

- **Upcoming: **Reminders that are due tomorrow or later are stored here. These are reflected in the search results with the colour blue:

# **Messages**

The Messages section of the Side Panel holds a record of any outbound communications with the individual or business customer associated with that specific record type. Any internal notes made by users of Biz Core are also recorded in this section of the Side Panel.

Communications and notes within the messages section are stored in chronological order, with the most recent at the top. Users have the ability to view the 20 latest messages or notes by scrolling. If more notes are available, users can load an additional 20 at a time when they reach the end of the list:

> ℹ️ In Biz Core, users can send emails and SMS messages from the portal, but cannot receive them. To keep track of incoming emails related to a specific record, users can create a Note with the email content. Therefore storing the inbound information in the Messages section of the Side Panel.

## **Resend, Archive or Pin Messages**

Each individual message or note stored in the Side Panel has buttons affixed to it, these can be clicked as required:

- **Resend: **Clicking this icon will resend the communication to the customer. This option is not available for notes.
- **Archive: **This option will remove the message or note from being visible by default in the messages section of the Side Panel, instead it will be stored in an archive. Locating archived messages is explained below.
- **Pin: **A pinned message or note will always appear at the top of the list within the Side Panel.

## **Exporting Messages**

Users can Export all messages and notes stored in the Side Panel into a new browser tab by clicking the **Export All Messages **button:

This will trigger a popup window prompting users to confirm the export by clicking **OPEN** or to cancel the action by selecting **CANCEL**. Upon clicking **OPEN**, the exported messages will be displayed in a new browser tab, allowing users to select, copy, and paste individual or all messages into an external document.

## **Filtering Messages**

Messages and notes can also be filtered using the icons at the top of the Side Panel, clicking each icon will turn it green, changing the filter status to active, clicking again will return it to inactive:

By default the All Types filter will be active, but users can click on each filter, or a combination of them, to set their preferred criteria:

- **Show Archived: **When active this filter will display messages or notes that have previously been archived, along with all other notes and messages.
- **All Types: **This filter is enabled by default, when active it means that all types of messages will be shown; emails, SMS and notes.
- **Emails, SMS, Notes:** When these filters are enabled only that kind of message will be shown, users can also activate a combination of these filters to show several kinds of messages.
- **Show Date Range Filters:** Users can click on this filter to open the date-range fields, and can enter either a Start Date, End Date or both to only view messages and notes within the specified period of time.

# **Documents**

Any Documents associated with the record type or those uploaded by users are stored as a row in this section of the Side Panel, ordered by date, with the most recently uploaded or created documents at the top of the list:

The system will automatically store documents such as the loan contract, direct debit agreement forms, loan statements, as well as any documents uploaded by users and those provided by the customer through the application form, like their payslips. Essentially the documents section of the Side Panel provides Biz Core users with an accessible database of any documents relevant to each specific record type.

Users can view most file types, or download any of them when required.

> ℹ️ Only .pdf, .jpg and .png files can be viewed in Biz Core, other file types such as .doc and .docx will need to be downloaded to view.

## **Open, Download or Archive Documents**

Each document row is affixed with icons that users can select to manage or view that specific document:

- **Open in a New Tab: **Clicking this will open the document in a new tab. This feature may require users to disable their popup- or ad-blocker for this site.
- **Download: **Users can click this icon to download the document to their device.
- **Archive: **If users want to remove the document from the list, it can be archived. See below for information on how to access archived documents.
- **<Document Name>: **Users can click on the document name link to open it in the document viewer inside Biz Core, without needing to download it. Only .pdf, .jpg and .png files can be viewed this way.

## **Documents Icons**

At the top of the documents section there are icons that provide users with additional functionality:

- **Enable Multi-Select Mode:** If a user wants to open more than one document, they can click to enable the multi-select mode, then tick the documents they want to open, before using the **Open Selected** button:

- **Open All: **Users can click this button to open all documents in new tabs. This feature may require users to disable their popup- or ad-blocker for this site.
- **Show Archived: **Clicking this will display any documents that have been archived in the list along with the rest of the documents.
- **Show Date Range Filters: **Users can click on this button to open the date-range fields, and can enter either a Start Date, End Date or both to only view documents within the specified period of time.

# **Tags**

This section of the Side Panel allows users to add Tags in order to categorise records, they can add an unlimited number to each record. Tags are searchable from the Filters widget in every Workspace, giving users the flexibility to tag records to assist their workflow. 

> ⚠️ Tags created at the Customer workspace level are searchable across all workspaces. 
> ⚠️ 
> ⚠️ Tags created at the Lead, Application, or Loan workspace levels are only searchable within that same workspace.

Users can add tags to any record by typing their desired tag into the field and pressing enter on their keyboard:

Tags can be removed by clicking the **Delete **❌ icon attached to each tag:

Tags that are added specifically to any Customer Workspace records are also attached to their customer information card that is displayed across all other records connected to them. This is where users should store important tags that related to the customer:

## **Example Tag Use-Case**

A user could tag certain loan records with “Redraw Available” to indicate the customer has a redraw facility active on their loan. This tag can then be searched from the Filters widget in the loans workspace, limiting the results to only users with a redraw facility, who can then be targeted with a marketing campaign.

# **Activity History**

The Activity History captures and shows actions and events on the record, including which user viewed or took actions on it. Initially, it displays the history from the past 30 days. Users can extend the history by adjusting the date range filter at the top. Alternatively, users can also focus on the activity history within a specific date range:
