# **Overview**

In order to streamline the loan servicing process, Biz Core offers the convenience of allowing users to download a zip file containing letters intended to be posted to borrowers. Users can generate the letters as required from within their subscription, and use Placeholder Tokens to ensure they will automatically contain up-to-date information that is specific to each borrower.

> ℹ️ The Loans Manager user role must be enabled to use this feature.

# **Download Zip File**

> ℹ️ In order to download letters for post, the documents must have already been generated and sent as an email attachment. Check [Loan Product Setup](https://bizcore.refined.site/space/BCKB/1776680977/Loan+Product+Setup) for information about creating documents, and including them in email templates.

To begin downloading a Zip File containing the letters for post, use the sidebar to navigate to **Workspaces → Loans**:

Next, hover over the **Actions ≡ **icon on the bottom right of the page and click **Download Arrears Letters .zip File**:

This will open a popup window where users can input the details necessary to generate a .zip file containing the required letters:

Use the fields and dropdown boxes in the popup window to generate the desired letters:

- **Loan Product**: Users can choose from the dropdown box which specific loan product they want to generate letters for.
- **Template**: Select a template the letters will be based on from the dropdown box. Check the [Loan Product Setup](https://bizcore.refined.site/space/BCKB/1776680977/Loan+Product+Setup) for help creating and organising templates.

> ℹ️ To ensure templates are ideal for mailing, use the {Text.CustomerMultilineAddress} placeholder token. This will generate the borrowers address in a format ideal for the mailing window of an envelope, for example:
> ℹ️ 
> ℹ️ 2 Murrajong Road,  
> ℹ️ Springwood, QUEENSLAND 4127  
> ℹ️ AUSTRALIA

- **From Date**: Enter the date or click on the **Calendar **📆 icon to use the date-picker. This is the earliest date the user wants the letters generated from.
- **To Date**: Enter the date or click on the **Calendar **📆 icon to use the date-picker. This is the most recent date the user wants the letters generated from.
- **Include files previously generated**: Keep the toggle off to only generate letters that have not been created previously, or enable the toggle to include previously generated letters in the .zip.

Once the fields have been filled as required, click the **GENERATE** button, this will automatically download a .zip file containing the letters when they are ready.

> ⚠️ Large .zip files may fail to download due to the process taking too long and timing out, such as in cases where there are over 1000 documents to be generated. It is recommended to use this as a daily process to avoid this issue.

After each generation, the table will update to show a history of generated .zip files. Each of them can be re-downloaded again at any time by clicking the **Download **⬇️ button:

If there is a ticked checkbox next to the date range on any row of the table, it indicates that the **Include files previously generated** toggle was enabled when the .zip file was generated.
