# **Overview**

The Suspense Account serves as a temporary holding area for transactions received by subscribers when it's not immediately clear which loan the funds should be applied to. Admin users have access to the feature, where they can view transaction details, including the transaction amount and the date the funds landed in the subscriber's account (accounting date).

Admin users can match transactions from the Suspense Account to specific loans within Biz Core. Transactions are added to the ledger on the date they are matched to the loan, with the accounting date being used to adjust any fees or arrears balances associated with the loan, based on the date the funds were initially received by the subscriber and held in suspense.

Essentially if a subscriber receives a loan repayment external to Biz Core’s direct debit facility and it cannot be immediately attributed to a loan, it is added to the suspense account either manually or by [Bulk Payments](https://bizcore.refined.site/space/BCKB/2004910085/Bulk+Payments). When adding the funds to the suspense account the user supplies the date the payment was received by them, as the accounting date, and when the payment is ultimately matched to a loan in Biz Core this date is used to adjust any fees or interest to be accurate for when customer’s payment actually landed.

# **Navigate Suspense Account**

To access the suspense account, use the sidebar and navigate to **Admin Actions → Suspense Account**:

To view all records in the suspense account, users can click **SEARCH **immediately after opening the page:

## **Suspense Account Records**

Each payment held in the suspense account is referred to as a record, contained in a row within the table of results. Records are broken down into two categories:

- **Accounted For records**: These are payments that have been matched to a loan within Biz Core.

- **Unaccounted For records**: These are payments that have not yet been matched to any loan.

Columns in the table of results display information about the payment held in the suspense account, each column heading is explained below:

- **Date Time**: This is the date and time that the record was initially added to the suspense account, either manually or through [Bulk Payments](https://bizcore.refined.site/space/BCKB/2004910085/Bulk+Payments).
- **Customer Name**: When a payment has become Account For, the individual or business customer name will be listed here.
- **Reference**: An Unaccounted For record can either have no reference, or a reference that the user has added when creating the record, typically this is the reference the customer attached to the payment. Conversely, when a record becomes Accounted For, the reference field will contain the Biz Core loan reference number.
- **Accounting Date**: This should reflect the date the funds landed in the subscribers account, and is added by the user when manually creating the suspense account record, or using [Bulk Payments](https://bizcore.refined.site/space/BCKB/2004910085/Bulk+Payments).
- **Amount**: This is the dollar amount of the payment.
- **User**: This will display the user who added the record to the suspense account.
- **Match Record**: Any Unaccounted For records will have a **Magnifying Glass **🔍 icon that users can click to begin matching the payment to a loan, while Accounted For records will display the date the record was matched.

Users can also delete Unaccounted For records by clicking the **Bin **icon in the far-right column.

Biz Core will show the dollar value of Accounted For and Unaccounted For funds in the suspense account, above the list of records:

By default Biz Core will load 20 suspense account records per page, users can navigate between the pages or adjust how many results to display per page by using the navigation bar at the bottom:

## **Filter Suspense Account Records**

In order to narrow down the records contained in the table of results, users can adjust the filter options before clicking **SEARCH**:

Unchecking either of the **Unaccounted For** or **Accounted For **options will remove those record types from the list of results. Users can also enter a date into the **From** field to display records created after that date, or enter a date in the **To** field to only show records before that date. Once a user has determined their search criteria they click **SEARCH **to return a list of results, or **CLEAR** to remove the filters.

# **Add Individual Suspense Account Record**

To add an individual record to the suspense account, users can click the **Add New Record **:plus: button to launch the wizard:

Users then complete the fields to create the record:

- **Reference**: This field is optional, the user can input a reference with an internal meaning, or record the reference the customer attached to the payment. When the record is matched with a loan this field will be replaced with the Biz Core loan reference number.
- **Accounting Date**: This should be the date the payment landed in the subscribers bank account.
- **Amount**: This should reflect the dollar amount of the payment being entered into the suspense account.

After completing the required fields the user can click **SUBMIT** to add the record to the suspense account or **CANCEL **to discard it.

> ℹ️ Users can also add records to the Suspense Account via the [Bulk Payment](https://bizcore.refined.site/space/BCKB/2004910085/Bulk+Payments) feature. These are added to the Suspense Account as Unaccounted For records.

# **Match Suspense Account Record**

To match an Unaccounted For record to a specific loan in Biz Core, users click the **Magnifying Glass **🔍 icon to launch the popup window:

Users then search for a loan with either:

- **Loan Reference**: Enter the entire Biz Core loan reference number (for example: **BCL**001001A).
- **Customer Name**: Input a partial or full name of the customer.

After entering one of the above, users press Enter on their keyboard and select the specific loan to apply the Unaccounted For record to from the dropdown search results:

After locating the loan to apply the Unaccounted For held in suspense to, users click **SUBMIT**. Now the record will be considered Accounted For in the Suspense Account, and reflected on the appropriate loan ledger in Biz Core:

An adjustment will also be automatically created in the loan ledger to correct any interest or fee splits based on the accounting date of the now Accounted For record:
