# **Overview**

Within each payment agreement there are two specific types of authorisations, while the agreement record itself can be in the [authorised status](https://bizcore.refined.site/space/BCKB/1783890004/Records%20&%20Statuses#Agreement-Statuses), the associated payment source must also be authorised to allow payments to be debited as scheduled. Essentially, before Biz Core can debit a bank account the customer must provide their E-Signature, consenting to the Direct Debit Authorisation, or a user must manually authorise the payment source when they have received signed authority externally to Biz Core.

This may also be applicable for card payments, while the agreement record can be in the authorised status, no payments can be made until the customer has supplied their card details through the secure card payment gateway.

# **Payment Authorisation**

There are two distinct kinds of payment authorisation, both are required to ensure the direct debit process can be completed without issue. These are explained below:

## **1 - Agreement Authorisation**

The first step required for a payment agreement to function is for the status to be in the correct status.

Every record in Biz Core is affixed with a [specific status](https://bizcore.refined.site/space/BCKB/1783890004/Records%20&%20Statuses) at any given point in time. A payment agreement must be in the **Authorised** status for any direct debit payments to be processed. The status can be seen in the Agreement Summary on each record:

Typically a payment agreement record will automatically switch to **Authorised** when a customer consents to the direct debit agreement by providing their E-Signature. A link to this form is generally sent to the customer via email and SMS when an agreement is created in Biz Core, or they are redirected to the appropriate webpage to sign after creating their own agreement through the [self-service page](https://bizcore.refined.site/space/BCKB/1779728385/Self-Service+Page) or [payment gateway](https://bizcore.refined.site/space/BCKB/1830322183/Payment+Gateway). Source authorisation is explained more below in **2 - Agreement Source Authorisation**.

In cases where the agreement record status does not automatically change to **Authorised** the user can manually change statuses by clicking the **Update Status ⇆ **icon in the Agreement Summary, then selecting **Authorised**:

## **2 - Agreement Source Authorisation**

The second step required for a payment agreement to function is for the source to be authorised. This means that the customer has provided consent to direct debit the bank account listed as the payment source through Biz Core’s inbuilt E-Signature feature, or provided explicit, signed or recorded verbal consent to the subscriber directly.

Card payments follow a similar process, however the user cannot manually authorise them, instead the customer must provide them through the secure payment gateway to authorise the card to be used as the payment source.

Consent must be provided any time an agreement is created, or a [new payment source](https://bizcore.refined.site/space/BCKB/1953693697/How+to+Update+Payment+Details) is added.

To view the authorisation status of a payment source, users can either [locate the agreement card through workspaces](https://bizcore.refined.site/space/BCKB/1778483201/Workspaces#Result-Cards):

In the above example, while the agreement status is **Authorised**, as indicated by the green badge, the connected bank account source is **Not Authorised**, shown with the red badge, meaning the customer has yet to provide their E-Signature on the direct debit authorisation form, nor has the subscriber authorised the agreement manually. The same can be seen below for an **Authorised **payment** **record where the card details have yet to be provided by the customer:

Users can also view the status of a payment source after opening the agreement, by expanding the sources widget:

### **Authorising an Agreement Source (Bank Account)**

There are several ways to authorise a bank account as an agreement source. Typically a customer will receive an email and SMS with a link to provide their E-Signature:

After the customer completes this process the source will be authorised, displaying the date the consent was provided in the sources widget:

Alternatively, a user can also manually authorise a bank account source by clicking the **Authorise **👍 button:

> ⚠️ Users must ensure they keep a record of written or recorded verbal consent after manually authorising a payment source.

### **Authorising an Agreement Source (Card)**

The only way to authorise a card as a payment source is for the customer to enter the details through the secure card payment gateway.

The customer will receive a link to provide their card details via email and SMS any time an agreement is created:

Alternatively, if the customer is creating their own agreement through the self-service page or payment gateway and is electing to pay with a card they will be required to enter the details before the process is completed.

### **Resending a Source Authorisation Link**

In instances where the customer receives an email and SMS asking to provide their card details or E-Signature for direct debit it is important to note that the link may expire. Secure card payment gateway links will remain active for 48 hours, while direct debit authorisations can be provided within 7 days.

In the event of expiry users can resend the required link to a customer by clicking the **Request **▶️ button attached to the payment source:
