# **Overview**

Prepare for the upcoming season with confidence! This guide will walk users through the essential steps to ensure their club is well prepared and organised as they kick off their new season. Whether it’s managing membership fees or setting up your QR codes, Biz Core has it covered. Stay ahead of the game and make sure everything is ready for a successful season ahead.

# **Manage Biz Core Users**

As members of the club committee may change between seasons, be sure to follow the [guide for managing users](https://bizcore.refined.site/space/BCKB/1776025629/User+Management) of the Biz Core Portal, including adding user accounts for new committee members, and disabling or removing those that depart the club.

# **Update Products**

Depending on how Products have been setup, users may need to update them for the new season. If the **Paid by Date** set on a Product is in the past it will be considered expired and no longer available to purchase through the Self-Service Page. Also if there have been changes to the cost of registration fees, or other Products between seasons, or the arrangement of divisions or leagues has changed, users can quickly adjust this in Biz Core.

Also, any **Tags **added to Products in order to identify debits for a particular season should be updated before the new season commences. This will ensure payment agreements can be can be linked to the season they correspond to.

## **Editing Products**

First use the Biz Core sidebar and navigate to **Settings → Products Module**, from here users can see each Product Group, then can click to open each of them, and view any existing Products:

Any Products that are expired will be labelled with red text:

### **Updating Name, Paid by Date or Cost**

Simply click the **Pencil **✏️ icon next to any Product, this will open a popup window where users can change the **Cost**, **Name** or **Paid by Date** of each Product:

Any changes to the Product will be shown instantly on the Self-Service Page, meaning if you already have QR Codes generated, or flyers from last season already printed with a link to the page, you won’t have to change them.

### **Updating Tags**

Tags will be shown on each Product, users can simply click the **Cross** :cross_mark: button on a Tag to remove it, and type the new one into the **Add another tag **field:

Now any Payment Agreements made for this Product through the Self-Service Page this season will be tagged with 2024 so users can quickly [Filter for them](https://bizcore.refined.site/space/BCKB/1778483201/Workspaces#Filters) in the Agreements Workspace.

# **Create QR Codes**

Be sure to link the Self-Service Page to a QR Code, so members can simply scan with their mobile phone to be directed straight to the purchase page. Please note that any QR Codes made for past seasons should still work, even if the Products on the Self-Service Page have been updated.

First, follow the guide for [copying the Self-Service Page URL link](https://bizcore.refined.site/space/BCKB/1779728385/Self-Service+Page#Copy-and-Share), then paste the link into a [QR Code Generator Website](https://www.qr-code-generator.com/), choose the code’s design style, then download the newly generated QR Code image:

The image will be saved locally on the computer, which can then be printed, attached to a flyer or shared via social media.

# **Coaches Clipboard Flyer**

Next create a Flyer explaining to members how they can pay for their Season Fees, Uniforms and more through Biz Core. Add the QR Code so they can quickly and easily open the Self-Service Page and start their payment plan. These flyers are great to slip on the coaches clipboard or put up around the clubhouse.

Alternatively, use one of the premade Clipboard Flyer Templates attached below. Be sure to replace the QR Code and Logo with the club's own, and swap any placeholder text between the chevrons **< > **for relevant info.

# **Settlement and Rejection Reports**

If the committee members have changed, be sure to update the nominated email addresses that will receive Biz Core [settlement and rejection reports](https://bizcore.refined.site/space/BCKB/1954938888/How+to+Read+the+Settlement%2FRejection+Report). These are sent each time a direct debit settlement is made to the club, and outline each successful and failed transaction, as well as a breakdown of any fees charged.

Use the Biz Core sidebar and navigate to **Settings → Payments Module → Reports**:

From here, use the Settlement Report widget and Rejection Report widget to remove any old users from the **Email Contact** field, who no longer need to receive the reports. Click the **Cross **:cross_mark: button on each applicable email address to remove it.

Then add the email address’ of any new users being nominated to receive the reports by entering their information into the **Add Contact **field before pressing Enter:

The email contacts listed will now receive Settlement and Rejection reports directly to their email address any time a settlement is made. Allowing them to follow up any failed debits, and keep track of each transaction making up a settlement.

# **Explaining Biz Core**

Being able to explain what Biz Core is to members, players, parents or sponsors is important, with people becoming more conscious about the security of their personal and payment information.

Biz Core is an Australian-based direct debit provider who, on behalf of our subscribers, securely collect once-off or recurring payments from bank accounts or cards after receiving authorisation from the account holder. 

Any applicable fees for subscribers or their customers are outlined in the Approval Letter each subscriber receives when they sign up, and customers will also see any fees that apply to them when authorising their payment agreement. 

Biz Core also maintains strict security policies, to ensure the protection of subscriber and customer data at all times.
