# **Overview**

Biz Core subscribers can store customer communication preferences in line with media and anti-spam compliance rules in certain domains. Customers are able to provide explicit consent for receiving marketing communications, or opting out through the [Application Form](https://bizcore.refined.site/space/BCKB/1776615437/Application+Form+Setup), additionally their choice can be set by the user when creating customers manually using the [Customer](https://bizcore.refined.site/space/BCKB/2009038860/How+to+Manually+Create+a+Customer+Record), [Application](https://bizcore.refined.site/space/BCKB/2004484104/How+to+Manually+Create+a+Loan+Application), [Loan](https://bizcore.refined.site/space/BCKB/2004156427/How+to+Manually+Create+a+Loan) or [Ad-Hoc Payment Agreement](https://bizcore.refined.site/space/BCKB/1806729224/Ad-hoc+Payment+Agreements) wizards. Any time an election is not made by either a customer or user, the preference will be set as null, or blank. 

Communication preferences are stored on the Customer Record, and can be updated at any time. The customer’s marketing election can then be seen on Customer Workspace CSV exports, or used as a flag in external reporting, allowing subscribers to filter customer contact information for only those who have opted in to receiving communications, assisting with creating SMS or Email campaigns for customers who consent to receiving them.

There are several instances within the Portal where users will be able to manually configure a customer’s Opted In or Out choice, explained below in **Communication Preferences**, customer’s can also make their own election when using the Biz Core Application Form, outlined below in **Application Form: Giving Customers the Option to Select their Communication Preference**. For more information on how customer’s who set multiple different preferences are handled, or if an explicit preference isn’t provided, see **Rules **below.

# **Communication Preferences**

An individual customer’s Marketing Communication Preferences are stored on their Customer Record:

Clicking the **Pencil **✏️ icon will allow users to manually update a customer’s preferences, before clicking **Submit **:check_mark: to confirm the changes, or **Cross **:cross_mark: to discard them:

If a user is manually creating a Customer, Loan, Application or Ad-Hoc Payment Agreement Record, if a New Individual Customer is being created the wizard will allow users to set a communication preference:

# **Application Form: Giving Customers the Option to Select their Communication Preference**

Within the Biz Core Application Form configuration, the Communication Preferences step allows users to toggle it on or off, as well as set it is a mandatory or optional question. Users can also customise the specific wording of the question by clicking the **Custom** box in a draft version of the Application Form:

The question will then be shown to potential borrowers when completing the Application Form:

> ℹ️ In order to view and edit the **Communication Preferences** question on the Application Form, users must use a brand new form. Existing forms, or duplicates of existing forms will not show the option.

# **Rules**

There are several rules that are followed by the system when customer’s establish their communication preferences, or when users manually set them:

- All customers existing prior to the feature being released have their Marketing Communication Preferences set as **Null**, this is displayed as **---** on the Customer Record.
- When users manually create Customer, Loans, Applications or Ad-Hoc Payment Agreement Records and do not set a Marketing Communication Preference it will default to **Null**.
- When customer’s use the Application Form and do not select their Marketing Communication Preference (if the question is not shown or not mandatory), they will default to **Null**.
- The customer’s Marketing Communication Preference will be set to their most recent choice. For example, if they have an existing Application where they **Opted In**, but then **Opted Out **on a subsequent Application, their preference will be set to **Opted Out**.

# **CSV Exports**

Marketing Communication Preferences are available when exporting Customer Workspace data as a CSV file. From the Customer Workspace, click **SEARCH **to return all Records, or use the [filters](https://bizcore.refined.site/space/BCKB/1778483201/Workspaces#Filters) to return only a subset of Customer Records. The Records returned after clicking **SEARCH **will be those that are exported.

Next, hover over the **Actions ≡ **icon on the bottom right of the Workspace, and click **Download CSV **⬇️:

Customer Records will now be downloaded to the user’s device, in a .zip file if there are both business and individual customers stored in the subscription. Only individual customers will have Marketing Communication Preferences.

Within the CSV file, the `OptedInMarketingCommunication` column stores the individual customer’s Marketing Communication Preference, where `TRUE` means they have opted into communications, `FALSE` indicates an opt out and an empty cell indicates no preference was given:

This information can be used to create bulk mailing and SMS lists, based on customer’s individual communication preference.

# **External Reporting**

The overall purpose of establishing a customer’s Marketing Communication Preference and storing it within their Customer Record in Biz Core is to assist with filtering customer contact information in any external reports. As Biz Core subscribers are able to commission PowerBI reports integrated into their Portal, a marketing team would have the ability to filter and export customer contact information reporting data with only the details of those customer’s who have Opted In to receiving communications. The exported data can be used to create SMS and/or Email lists for bulk sending platforms, ensuring that any marketing material is only being sent to customer’s who elected to receive it, as may be required by law in some countries.
