# **Overview**

This guide outlines the process for users to manage a Customer’s personal and contact information when an Application is received for an already existing customer. If the new Application contains sufficient information to form a [Complete Lead](https://bizcore.refined.site/space/BCKB/1776975877/Lead+Management#Lead-Statuses-Explained) and Biz Core can [automatically match](https://bizcore.refined.site/space/BCKB/1776975877/Lead+Management#Customer-Matching-Rules-(CMR)-Explained) it with an existing Customer record, it will progress immediately as an Application record, connected to that existing Customer, provided the [Automatically Create Applications toggle](https://bizcore.refined.site/space/BCKB/1776975877/Lead+Management#Automatically-Create-Applications) is enabled within the [Application Form Settings](https://bizcore.refined.site/space/BCKB/1776615437/Application+Form+Setup#Application-Form-Details-Setup).


However, there may be cases where a Customer’s personal or contact information differs between what is already stored within their Customer record and their newly submitted Application. In these instances, Biz Core will allow the user to update the Customer’s details based on the new Application. The process for doing this is outlined below, as well as the rules for handling this information.

> ⚠️ If a Lead has not been automatically converted into an Application, it may mean the Lead is [Incomplete](https://bizcore.refined.site/space/BCKB/1776975877/Lead+Management#Lead-Statuses-Explained). Users have the option to create or dismiss this Lead, however, if merged with an existing Customer, it will delete the existing Customer’s personal and contact information and replace it with the newly submitted details.
> ⚠️ 
> ⚠️ If users do not want to delete the existing Customer details and replace with the new information, they must create a new Customer from the Incomplete Lead (click Create), then correct the details before merging the new Customer with the Existing. This will ensure that the Lead provider tracking is maintained.

# **Updating Customer Details from Lead**

If a Customer already exists within Biz Core, and they submit an additional Application that is automatically created, the system will connect it to their existing Customer record. However, there may be a variation between personal and contact information that is already stored on their existing Customer record, and the more recently submitted Application. In these cases users will see the **Update Customer Details from Lead** in the Application Record Toolbar:

Clicking this icon will launch a popup window, allowing users to view the differences between the new Application and the existing information on file, and if necessary update the Customer’s record accordingly:

The popup window will show the most recent **Lead Details **on the left, and the existing **Customer Details **on the right. Additionally, it is broken up into 4 sections, **Person Details**, **Email**, **Phone** and **Address**.

Each section within the popup window will detect if there are any differences between the existing Customer record and the new information provided in the Application.

## **Person Details**

The **Person Details** section of the popup window includes personal information such as First Name, Last Name, Date of Birth and Nationality, and allows users to **Replace** the existing information stored on the Customer record with any new information. Once Biz Core detects a discrepancy it will highlight the specific difference by displaying a **Replace **button, users can click this to **Replace **the existing personal information with the new details:

Users also can click **Undo **before submitting any changes.

Once the appropriate selections have been made, users can click **SUBMIT** to complete the process.

> ℹ️ Updates made to the **Person** section will **replace** the existing information with new details on the Customer record.

## **Email, Phone and Address**

The **Email**, **Phone** and **Address** sections of the popup window will allow users to **Add** these details to the existing Customer record as the new **Default **information. Once Biz Core detects a discrepancy it will highlight the specific difference by displaying an **Add **button, users can click this to **Add** the new details as the **Default**, while still retaining the existing contact information:

Users also can click **Remove** before submitting any changes.

Once the appropriate selections have been made, users can click **SUBMIT** to complete the process.

> ℹ️ Updates made to the **Email**, **Phone** and **Address** sections will add the **most recent** details as the **Default** information on the Customer record.
